Who is responsible for your data?
Happy Windows rents out Forest Cabin Hazel and Forest Cabin Moss as a private provider and is responsible for the processing of personal data as described in this privacy statement. Happy Windows is not registered with the Chamber of Commerce.
You can send questions about privacy or a request regarding your personal data to familievonk4@gmail.com.
What data do we process?
Depending on your contact or booking, we may process the following data:
• name, address, city and contact details;
• details of the main booker and the number and type of accompanying guests;
• arrival and departure dates, chosen cottage, extras and preferences;
• booking number, price, payment status and necessary transaction details;
• messages, questions, complaints and other correspondence;
• data required for statutory guest registration or tax administration;
• technical data, such as IP address, browser data, cookie data, and information from the contact or booking form;
• other information you provide yourself, for example to take into account a practical need during your stay.
We do not ask for medical information. Please share such information only when absolutely necessary; we will use it exclusively to handle your request.
Why and on what basis do we use data?
We process personal data:
• to handle a request or booking, process payment and carry out the stay (performance of the agreement);
• to answer questions, provide service, manage the accommodation and prevent abuse or fraud (legitimate interest);
• to comply with tax, administrative and other legal obligations (legal obligation);
• for non-essential cookies or electronic marketing, only when consent is required and you have given it (consent).
You can withdraw consent at any time. This has no retroactive effect and does not render previous processing unlawful.
How do we receive your data?
We receive data directly from you, via our website or booking module, and – when you book there – via a booking platform such as Airbnb, Booking.com, Natuurhuisje, or Vipio. The relevant platform also has its own privacy statement and responsibilities.
With whom do we share data?
We only share personal data when necessary. This may include:
• Smoobu for website, booking, calendar, and guest communication;
• Stripe for payments via credit card, iDEAL, SEPA direct debit, and Bancontact, among others, when you choose one of these payment methods;
• the banks involved when you pay by bank transfer;
• booking platforms when the booking is made via that platform;
• suppliers of hosting, email, IT security, website forms and any necessary cookies;
• our bookkeeper or administrative service provider;
• park management, cleaning or technical support, solely to the extent that data is necessary to carry out the stay or to resolve a problem;
• government agencies when we are legally obliged to provide data.
With parties that process data on our behalf, we make agreements regarding security and confidentiality where necessary. We do not sell personal data.
Transfer outside the European Economic Area
Some suppliers or booking platforms may process data outside the European Economic Area. When Happy Windows is responsible for this, we use a legally permissible basis and appropriate safeguards, such as an adequacy decision or approved standard contractual clauses.
How long do we retain data?
We do not retain personal data longer than necessary:
• In principle, we retain data forming part of our tax records for 7 years, calculated from the moment the statutory retention period begins;
• we retain data regarding a booking and stay for as long as necessary for execution, service, potential claims, and statutory administration;
• In principle, we retain a single inquiry that does not lead to a booking for a maximum of 2 years after the last contact, unless earlier deletion is appropriate or longer retention is necessary due to a dispute;
• We retain cookie data according to the retention periods specified in the cookie notice or cookie settings.
If data is required for multiple purposes, the longest applicable period applies. After that, we delete or anonymize it, unless a legal obligation requires longer retention.
Cookies and external components
The website may use necessary cookies for security, language, forms, and the booking module. We only place non-necessary cookies, for example for statistics or marketing, if consent has been given. You can make your choices via the cookie notification and adjust them later.
Links to Instagram, Facebook, Google, or booking platforms take you to third-party websites. Their own privacy and cookie policies then apply.
Security
We take appropriate technical and organizational measures to protect personal data against loss, unauthorized access, misuse, or alteration. Only persons and suppliers who need the data for their task are granted access.
Your privacy rights
You can request us to:
• access to your personal data;
• correction or addition;
• removal;
• restriction of processing;
• transfer of data that you have provided yourself;
• objection to processing on the grounds of a legitimate interest;
• withdrawal of given consent.
We may request sufficient information to verify your identity. In principle, we will respond within one month. Sometimes we are permitted or required to retain data, for example due to tax retention obligations or an ongoing dispute.
If you are not satisfied with the handling of your data, please contact us first. You also have the right to file a complaint with the Dutch Data Protection Authority via autoriteitpersoonsgegevens.nl.
Children
The main booker is at least 21 years old. We do not independently target our website and booking services at children. We process data regarding minor accompanying guests only to the extent necessary for the booking or a legal obligation.
Changes
We may amend this privacy statement when our services, suppliers, or legislation changes. The current version is always available on this page.
